With fears of COVID-19, space constraints and remote employees, many employers are now hosting virtual health fairs (VHF). This state-of-the-art platform enables employees to virtually visit your booth and chat with you as they watch your video broadcast and privately video/audio chat with you.

How it works

Just as live events, vendors register to participate in the VHF. The employer will review the vendor’s registration and their offerings; if they feel the vendor is a fit, the registration is approved, and the communication portal is then enabled between the vendor and event coordinator.

Unlike onsite events, virtual events can be visited long after the event has ended. This gives a greater opportunity for virtual booths to be viewed and connections made.

Setting Up Your Virtual Booth

The Edit Mode of a vendor’s profile has many features. The Event Registrations tab shows all events a vendor has registered for, with links to manage each of those registrations, including a link to Setup Virtual Booth.

The Virtual Booth Setup offers a placeholder for the vendor to upload the following:

  • Presentation video link (YouTube)
  • A link to scheduling software (if applicable)
  • Discount coupon (add any discount coupons you want to offer the group)
  • Brochures (add brochures for employees to download)
  • Photo of your Raffle Prize (Can be seen on your profile by the employees)

Event Day

Vendors join the Virtual Booth previously set up and tested no later than 15 minutes prior to the event time. The employer will go through to check in with each vendor prior to the event time. Employees are given a link to their event, which is opened at the event time.

Booth Interaction

The employee’s name will appear as they enter the booth. This allows vendors to interact with employees as they would if they were physically at their booth. Employees can ask the vendors questions via chat, download brochures and coupons, and request follow-up from the vendor. A link to open a private video or audio chat with vendors is now available!

Virtual booths also give employees access to other tabs within the vendor’s profile, including the About, Locations, Workshops and Ratings tabs. Events remain open for employees to visit for 60 days.

Benefits

Save time by cutting out the drive and booth set up time. You can safely invite employees to view your office, staff, and/or products with one click of a button.

Save on printed material and giveaways. Although a single raffle prize is required, the small giveaways and handouts are not necessary for a virtual health fair. Brochures and discount coupons are uploaded to the booth for employees to download and print on demand.

Employees are given a link to request more information and any scheduling software can be linked, making a virtual health fair a safe and effective way to bring wellness to the workplace.

Event links remain active for employees that are not able join the event during event hours. Using a pre-recorded video rather than a live broadcast gives visitors the same message no matter when they visit the event and visitors never walk into the middle of a conversation.

Booth Fees

Virtual events with less than 500 anticipated attendees are $25.00 per booth. Events with over 500 anticipated attendees are $50.00 per booth. Employee-sponsored events are free. No additional fees apply to virtual events.
